Keep records of your own
Track things that are not a product, customer or supplier, like warranty claims, service jobs or equipment on loan. Each kind of record gets its own fields and its own place in the back office menu, under Your records.
Records come with some plans. If Records is not in your Account menu, see A page is locked or missing.
Add a kind of record
Only an admin can do this, in Account.
- In Account, open Records.
- Click Add a kind of record.
- Under One of them is called, enter the name, like Warranty claim.
- Under Several of them are called, enter the plural, like Warranty claims. This is shown in the menu.
- Click Add it.
- To give it fields of its own, open Custom fields, click its tab, then click Add a field to and its name.
It comes with its own permissions, to read, change, delete and export. To let staff use it, add those permissions to a set in Extra access in Account, and give the set to them.
Work with the records
- In the back office, click the kind of record under Your records in the menu.
- Click Add and the record's name, like Add warranty claim.
- Enter a Title, choose the Status, Open or Closed, and fill in its fields.
- Click Save.
Good to know
- The tabs show All, Open and Closed records. Search by title or any field.
- Click a record to see it, then Edit to change it, or Delete to remove it for good.
- Export and Import work as they do for products and customers.
- To rename a kind of record, click Rename in Account › Records. Its permissions keep their names.
- To remove one, click Remove. First delete its records, and take it out of any permission set in Extra access.
