Return goods to a supplier

Back officeUpdated 2 November 2026

Send expired, damaged or wrong goods back to the supplier. The goods leave your stock, and dhivi POS makes a debit note. The supplier takes it off your bill, or pays you back.

Return goods

  1. Click Returns to suppliers under Purchases in the menu.
  2. Click Return to a supplier.
  3. Select the Supplier.
  4. Under Against their bill, select the bill the goods came on. You need it to take the return off what you owe.
  5. Under Items, add each product. Enter how many to Return, and select the reason: Expired, Damaged, Wrong item, Sent too many or Other. For a product kept by batch, select the batch.
  6. Under How the supplier settles it, choose Take it off what we owe or They pay us back.
  7. Click Return and print debit note.

Record a refund

When the supplier pays you back:

  1. Click the return in the list.
  2. Click Record refund.
  3. Choose How the money came: Cash, Bank or UPI. Enter the Amount and the Date the money came.
  4. Click Record refund.
