Collect dues and send statements

POSBack officeUpdated 2 November 2026

A bill is on credit when the customer pays less than the total and takes the rest on account. dhivi POS keeps what each customer owes across every shop of your business, so you can set a limit, collect in one payment and send them a statement.

Set a credit limit and credit days

Only a manager or an admin can set these.

  1. In the back office, open Customers and click the customer.
  2. Under Credit, click Change credit terms.
  3. Enter a Credit limit and Credit days, and click Save.

For a customer who already owes, you can also change them from Dues.

Leave the limit empty for no limit. Enter 0 if every credit bill for that customer should need a manager. Credit days set the due date of each credit bill: a bill on 1 March with 15 credit days is due on 16 March. The cashier can still type a different due date on the bill.

Over the limit at the POS

If a credit bill takes the customer past their limit, the POS asks a manager to approve it. The manager enters their PIN on the POS. The approval is for that one bill. If no manager approves, take some payment now so the bill stays within the limit.

What the customer owes at your other shops counts towards the limit.

Collect dues at the POS

  1. Press F2 or tap the customer card, and select the customer.
  2. Tap Collect dues.
  3. The customer's bills from this shop are ticked, oldest first. Untick any bill they are not paying now.
  4. Enter the amount, or tap All.
  5. Choose Cash, UPI or Card, and tap Collect.
  6. Print the receipt or send it on WhatsApp.

One payment can clear several bills. It pays the oldest bill first. Cash goes into the shift's drawer, so open the shift first. Bills from your other shops are shown but are collected at the shop that made them.

See who owes

In the back office, Dues lists every customer who owes, how much, and how old it is:

  • Not yet due, 1–30 days, 31–60 days and Over 60 days
  • Over limit for customers past their credit limit
  • when they last paid

Click Remind to send the customer a WhatsApp with the amount and a link to their statement.

Send a statement

  1. In Dues, click the customer.
  2. Choose the period.
  3. Click Send on WhatsApp, Copy link or Print.

The statement shows credit bills, payments and returns from every shop, with the balance after each. The link opens without signing in and works for 30 days.

Good to know

  • Cash bills are not on the statement. It shows only what was on credit.
  • A customer who pays at another shop pays the bills of that shop.
  • To remind customers every week by themselves, switch on Credit reminder in Messages.
